EBP US, Inc., is seeking a skilled accounting professional to support business growth by initially supporting and then taking full ownership of AR and AP processing. This position will report to the Accounting Manager and meet periodically with the CEO and/or CFO.

Accounting Specialist

The position is expected to be hybrid in Boston, MA. We are looking to onboard a team member in November to support financial year end and Q1 reporting responsibilities.

The position’s primary responsibility will be over Accounts Receivable and the following duties:

  • Prepare outgoing invoices for service rendered (including QB processing of billable expenses) in coordination with Accounting Manager; 30-40 outgoing invoices per month.
  • Maintain client records, including contact information and account status in QB and EBP’s in-house CRM system.
  • Manage Project Managers (PM) approval of invoices. (PMs confirm invoices are accurate and complete before the AS can send.)
  • Transmit invoices to clients after approval via email or various client AP systems and serve as primary point of contact for triaging invoicing questions.

The positions secondary responsibility will be over Accounts Payable and the following duties:

  • Enter any invoices for payments (including QB processing of bills and staff expense reports) to generate bill payments in coordination with the Accounting Manager; 30-40 incoming invoices per month.
  • Allocate expenses in QB to appropriate accounts to support Accounting Manager in financial reporting.

Additional duties to be added over time, depending on performance, experience, and demonstrated aptitude:

  • Work with PM to collect on past-due invoices.
  • Process timesheets in QBs (assign payroll items and allocate to charge accounts to support financial reporting)
  • Coordinate with PM to setup invoicing for new projects, including reviewing billing and payment procedures and coordinates handling of any special requests such as insurance certificate requirements.
  • Establish and maintain relationships with new and existing vendors.
  • Audit and support maintenance of project-level financial planning and records.
  • Provide support to other departments, such as human resources or operations.

The compensation for this position is expected to range from $65,000 to $85,000 based on qualifications.

The key qualifications we are looking for include:

  • QuickBooks Desktop experience, minimum one year
  • Proficient in Outlook, Word, Excel, and PDF software
  • Detail Oriented, highly organized, and possesses excellent customer service skills
  • Ability to work independently or on a team

We expect prior experience in a professional services or consulting environment will be a plus in terms of your ability to quickly get up to speed with the position. Additional education, training, or credentials may also be a plus. You will support a team headquartered in Boston but with remote staff distributed across the US and clients from coast-to-coast and internationally.

EBP’s fringe benefits include 30 paid time off (PTO) days per year that encompass vacation, holidays, and sick time. You will accrue 20 hours of PTO at the start of each month. The position is eligible for the firm’s group health insurance and dental plans (EBP pays 80% of the cost for employees and 70% for other family members). The firm pays for 100% of high-quality, short- and long-term disability insurance policies. We supplement our short-term disability policy to provide 100% of your salary for up to six weeks of major medical or parental leave. Employees are eligible to contribute to the company’s retirement plan, which offers traditional 401(k) and Roth 401(k) options. After completing one year of work with the firm, retirement contributions are eligible for a 100% corporate match up to 3% of your annual salary and a 50% match for the next 2% of your annual salary. (We match 4% if you contribute 5%.) Company matches vest immediately.
